Organization Tools in use at GoAugust
At GoAugust we are using a variety of tools to organize ourselves. Among them are FengOffice, Google Docs, Google Talk, and Catch. For real time collaboration on documents and spreadsheets, we use Google Docs. We find it very easy to use and it feels like we instantly have a first draft written up.
FengOffice is used to store images and any documents that do not require real time collaboration such as invoices and client feedback. We use its time tracking and calendar features to make sure we're on task and not running late.
We discovered Catch in the last week and so far it's been working well. We create tasks as new notes and then edit the note to update the task's information or progress. I'm also experimenting with using it to write/research blog posts (this blog post was actually written as a first draft in Catch!) I'll write a bit more about this setup later.
We only recently started using Google Talk for chatting. Previously we used Facebook chat but since the recent changes to it, we have found it a little annoying. We also use texting/sms on our mobile phones to quickly update team members on tasks. For example, if a client requests a content change, I receive a text message about the request with the information. If there are more details they're uploaded to fengoffice. This system works really well because we can quickly call if we need clarification.
Our work flow is streamlined, it is focused on getting the right information to the right person instantly so that they can act efficiently and increase customer satisfaction.
And since I like to use free/open source software as much as possible, it wouldn't be right to finish this blog post without giving out a list of free software alternatives.
- Catch - If you're a user of org-mode, there's MobileOrg (available for iPhone and Android), and there's a port of Tomboy for Android being worked on.
- Google Talk - host your own chat server, or use a Jabber/XMPP chat client to connect to Google Talk
- FengOffice is free/open source software
- Google Docs - LibreOffice/OpenOffice for offline collaboration and FengOffice for storing revisions of files
